    Concur & Travel Administrator / Executive Assistant is a hybrid role that includes administration of the Concur T&E system/processes and coordination of travel programs to meet strategic objectives, as a core focus. The hybrid role also includes limited Executive Assistant responsibilities, including coordination of presentation materials for Audit Committee meetings and Board of Directors meetings (Financial section, and other sections, as needed), coordination of certain Accounting department team and administrative goals/initiatives. The EA will be expected to attend to administrative and clerical details utilizing initiative, and problem analysis, while maintaining a high level of confidentiality and professionalism. This is a high visibility role that will interact with other departments, including leadership, on a regular basis. This is an Exempt position.


    Job Responsibilities and Duties

    Essential Job Functions:
    • Responsible for Administrator functions within the Concur T&E system
    • Optimization of Concur to achieve strategic initiatives, including any necessary reporting and training
    • Coordinate auditing/monitoring of expense reports
    • Provide training/support to employees for T&E/Concur related issues and serve as the liaison between the Company and Concur
    • Evaluate existing T&E policies & procedures and make suggestions for continuous improvement of expense-related processes
    • Facilitate preparation of journal entries to record Concur expense activity, ensuring proper coding
    • Coordinate/manage routine reporting from Concur, and other necessary systems related T&E expenditures
    • Work with travel vendors (Hotels, Car Rental, etc.) to optimize Company’s travel agreements/rates
    • Coordinate preparation of presentation materials for Audit Committee Meetings, and Board of Directors Meetings, as needed
    • Coordination of administrative and clerical details
    • Other projects/duties as assigned

    Education and Experience:

    • Bachelor’s degree preferred, or relevant experience
    • Must be proficient in Concur expense reporting software
    • Experience supporting executives in an EA capacity required
    • Highly detail oriented and organized
    • Ability to meet assigned deadlines
    • Ability to act and operate independently with minimal daily direction from manager to accomplish objectives
    • Ability to maintain confidentiality and operate in a public company and SOX compliance environment
    • Proficiency with e-mail and Microsoft Office applications, including strong Excel and PowerPoint capability

    • Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, problem solving, and results
