The Contracting Manager is responsible for consistent management of contracts for supplies, capital equipment and purchased services. This generally includes oversight of the contract management process, as well as development of specific standards for bidding and submission, contract negotiations, and document management. This role requires close collaboration with both the suppliers and the internal stakeholders including clinical operations, business operations and finance. Completes cost comparisons, and provides summary analysis for standardization/conversion opportunities and annual budgeting process.  This role is also responsible to sell cost reduction proposals to stakeholders, validation of cost savings, tracking and reporting.  This is an Exempt position. 


Job Responsibilities and Duties

Essential Job Functions:

  • Oversee organizational contract development and management activities, and enforce organizational principles of integrity and compliance
  • Ensure that contracts and proposals are properly entered into organizational databases and securely maintained
  • Develop standards for contracts, including presentation of budget, payment terms, general language and provisions
  • Perform appropriate clinical, administrative and operational research to support proposal and contract development
  • Load, monitor contract expirations, price changes and mange vendor notifications
  • Conduct contract strategy meetings to identify issues and client requirements, facilitate pricing discussions, and obtain senior management input on timelines and deliverables
  • Serve as primary organizational contact during contract negotiations
  • Engage relevant stakeholders in negotiation decisions involving legal or regulatory requirements, contract standards and cost targets
  • Manage the relationship with group purchasing organization (GPO), activate GPO contracts as needed, and monitor price activation timeline with vendors/distributors
  • Manage supplier relationships to ensure performance to commitments and Adeptus standards
  • Facilitate routine contract review with vendors and end-user departments accountable for contract
  • Contracting/analytical lead for system-wide Supply Chain project team(s) to promote standardization and cost reduction in areas of responsibility to achieve cost savings goals
  • Analyze opportunities for standardization, cost savings
  • Lead product conversion implementations across the system
  • Develops methodology, calculates and documents projected savings by project by site. Provide assistance/clarification on validation of savings
  • Maintain accurate contract information in Item Master

Education and Experience:


  • Bachelor’s degree in business, nursing or healthcare management or related field
  • Minimum 5 years of relevant experience in a contract management role, such as purchasing or contracting.
  • Proficiency in utilizing and interpreting financial models and analyses
  • Experience in applying organizational standards when developing requests for proposals, negotiating terms and drafting contracts
  • Ability to systematically analyze complex problems, draw relevant conclusions and implement appropriate solutions
  • Strong verbal and written skills, and ability to convey complex information in a way that others can readily follow
  • Excellent negotiating and persuasive skills, both in one-on one and group situations
  • Vendor & product knowledge in Nursing Services, OR, Pharmacy, or Labs/Radiology
  • Proficiency with e-mail and Microsoft Office applications, including strong Excel, Power Point, and other data mining tools
  • Knowledge of Materials management information systems or ERP systems
  • Knowledge of purchasing systems, policies and practices
  • Knowledge of healthcare distribution services (medical, lab & pharmaceuticals)
  • Knowledge of Federal and State regulations related to contracting
